Trusted by Rice University and Houston Methodist: Production for the Digital Health Institute Fall Symposium
Executive Summary:
The Partnership
On October 15, 2026, the Houston Methodist-Rice Digital Health Institute convened its Fall Symposium at the Baker Institute at Rice University. Physicians, engineers, policy leaders and health economists spent a full day, 9:00 AM to 5:30 PM, working through where digital health is headed.
Go Live Houston was the production partner for the day. Our team delivered the audio, video and photography across every keynote, panel and breakout session, and served as a single point of contact for the institute’s leadership.
This is the work we do for institutions that cannot afford a visible mistake: a joint event between a leading research university and one of Houston’s most respected healthcare systems, with speakers whose time and credibility are the entire point of the program.
The Challenge:
A joint institutional event carries two reputations at once. Every session at the symposium reflected on both Rice University and Houston Methodist, in front of peers, partners and the leaders they hope to work with.
The program raised the stakes in three ways:
Authority in the room. Speakers from medicine, engineering, public policy and health economics. Their words had to be heard clearly, every time, by every seat.
Many sessions, one standard. Keynotes, panels and breakouts across a full day. The tenth session had to run as cleanly as the first.
No room for visible production issues. For this audience, a dropped mic or a late cue is not a technical detail. It is a distraction from the institute’s message.
The institute needed a production team that could carry the technical work and the client relationship together, so their leadership could focus on hosting.
How the Model Works
Separation of duties. Audio, video, photography and client management each have an owner. Nobody is splitting attention between a speaker’s mic and a leadership request.
Zero technical failures as a standard. It is our commitment on every event, and the preparation behind it is why we can make it. We plan the room, test the signal and walk the program before guests arrive.
Audio first. At a symposium, the content is the speech. Clear multi-speaker coverage is what makes a panel of experts sound like a conversation instead of a struggle.
Broadcast-ready from the start. Video switching and capture are produced to a standard the institute can share, publish and build on.
The Solution and Production Crew
We staffed the symposium the way we staff our most demanding corporate events: each critical function has a named specialist, and one senior person owns the client relationship on site.
On-Site Crew
On-Site Project Manager: The direct liaison between institute leadership and the technical team. Questions, changes and requests went to one person, who resolved them without interrupting the program.
V1, Lead Video Engineer: Owned the broadcast-ready video switching, so every session moved cleanly between speakers, panels and presentations.
A1, Lead Audio Engineer: Responsible for pristine multi-speaker audio across keynotes, panel discussions and audience Q&A.
A2, Audio Assistant: Dedicated support on the floor, so speakers were mic’d, checked and ready before they walked on.
Lead Videographer: Captured the day’s sessions with the polish expected for institutional video.
Photographer: Documented speakers, discussions and moments for the institute’s communications.
Results and Client Testimonial
A seamless symposium from the first keynote to the last session.
The program ran across all keynote and breakout sessions without disruption, so attendees came away talking about the ideas on stage, not the production behind them.
Public recognition from the client.
After the event, the institute publicly thanked Go Live Houston on LinkedIn, tagging Omar Atilano and the company for the quality of the execution. For a joint Rice and Houston Methodist event, that public endorsement is the clearest measure of how the production landed with the people who matter most.
“Omar Atilano, We extend our sincere gratitude to the Go Live Houston AV team for helping make HMRDHI’s 2nd Annual Fall Symposium a success. Your collaboration and support made a significant difference, and we greatly appreciate your contributions. We look forward to sharing the photos and videos soon. There is much more to come as we continue to grow, connect, and advance digital health innovation.”
Results & Impact
The symposium ran the way a joint Rice and Houston Methodist event should: on schedule, on message, and with production that stayed out of the way of the speakers.
What the Institute Received
Every voice heard. Clear, balanced audio for keynote speakers, panelists and audience Q&A across the full day, so the conversation stayed the focus.
A polished program. Broadcast-ready video switching that moved smoothly between speakers, panels and presentations, from the opening session to the last.
One point of contact. An on-site Project Manager who handled leadership’s questions in real time, so the institute’s team could host their guests.
The day, documented. A lead videographer and a photographer captured the sessions and the moments between them, giving the institute material for its own communications.
Consistency across sessions. Keynotes, panels and breakouts all held the same standard, with no visible production issues.
We work with Rice University regularly. This project extended that relationship into a new, joint institute with Houston Methodist.
